World Travel UK – Booking Terms & Conditions

 

These Terms & Conditions form the basis of your contract with World Travel UK (“we”, “us”, “our”). Please read them carefully. By making a booking, you confirm that you have read, understood, and agreed to be bound by these Terms.

1. Agency & Organiser Disclosure

Your contract depends on the type of booking:

(A) Package Holidays

Where you book a combination of travel services (e.g., flights + accommodation) that constitute a Package under the Package Travel and Linked Travel Arrangements Regulations 2018 (PTR 2018), World Travel UK acts as the Organiser.

We accept responsibility for the proper performance of all services included in the package, in accordance with PTR 2018.

We will provide information on your rights, including cancellations, refunds, and compensation where applicable.

Where FCDO travel advice prevents travel, appropriate cancellation rights and refunds apply (see Clause 8).

(B) Single-Component / Non-Package Bookings

Where you book individual services that do not constitute a package (e.g., flights only, accommodation only, car hire), World Travel UK acts solely as an Agent.

Your contract is directly with the supplier.

Supplier Terms & Conditions govern performance and cancellation.

We exercise reasonable care in arranging bookings but are not liable for supplier failures except as required by law.

Your confirmation invoice will clarify whether we act as Organiser or Agent.

2. Formation of Contract

A binding contract is formed when we receive the required deposit or full payment and issue a confirmation invoice.

The Lead Passenger confirms authority to accept these Terms on behalf of all persons named on the booking and accepts responsibility for all payments.

Deposits are non-refundable except where otherwise specified by the supplier or required by law.

3. Pricing & Price Guarantee

All prices are subject to availability at the time of booking.

Once your confirmation invoice is issued, prices may only change if:

You request a change;

A pricing error is identified;

Supplier charges (taxes, fuel, fees, exchange rates) change where legally permitted.

Once your deposit is paid and a confirmation invoice issued, World Travel UK will not increase the holiday price.

Air fares will not be increased after full payment has been received and tickets issued.

In the event of a genuine pricing error, we reserve the right to correct it and offer the option to accept the corrected price or cancel for a full refund.

4. Payment

No booking is confirmed until the required deposit or full balance is received.

Balance must be paid by the date shown on your confirmation invoice.

Failure to pay may result in cancellation by the supplier, with applicable charges.

Payment may be made via bank transfer or major debit/credit cards. A small administration fee may apply to certain card payments.

5. Amendments by You

Amendments must be requested in writing by the Lead Passenger.

All changes are subject to supplier availability and Terms & Conditions. Amendment fees may apply.

Certain amendments may be treated as a cancellation and rebooking, with applicable supplier cancellation charges.

6. Changes by Us (Package Bookings Only)

Where we act as Organiser for a package, changes may occur due to circumstances beyond our control.

If a significant change arises before departure, you will be offered:

Acceptance of the change;

An alternative package (subject to availability); or

Cancellation with a full refund.

Where required under PTR 2018, compensation will be payable unless the change is due to unavoidable and extraordinary circumstances.

7. Cancellations by You

Cancellation must be made in writing by the Lead Passenger.

For Package bookings: cancellation charges apply in accordance with our cancellation scale or supplier Terms & Conditions.

For Single-component bookings: cancellation charges are governed by the supplier’s Terms & Conditions.

Certain travel arrangements, including issued tickets, may be non-refundable.

Comprehensive travel insurance is strongly recommended to cover cancellations and other losses.

8. Unavoidable & Extraordinary Circumstances (Force Majeure)

We shall not be liable where performance is affected by unavoidable and extraordinary circumstances, including but not limited to:

Natural disasters

War or threat of war

Civil unrest

Government restrictions or border closures

Pandemic or public health emergencies

Air traffic restrictions

Supplier insolvency

For Package bookings (Organiser):

If the UK FCDO advises against all or all but essential travel to your destination and this affects your package, you may cancel before departure without paying a cancellation fee and receive a full refund of payments made. Compensation is not payable in these circumstances.

For Single-component bookings (Agent):

Refunds or credits are subject to the supplier’s Terms & Conditions. We cannot guarantee refunds unless provided by the supplier.

9. Financial Protection (ATOL)

Where your booking includes an ATOL-protected flight or flight-inclusive package, you will receive an ATOL Certificate confirming financial protection under the Civil Aviation Authority’s ATOL scheme.

10. Passports, Visas & Health

It is your responsibility to comply with all passport, visa, immigration, and health requirements.

Passports should generally have at least six months’ validity beyond the return date.

We accept no liability where travel is refused due to non-compliance.

11. Complaints

Any issue must be reported immediately to the supplier and to us for resolution.

Formal complaints must be submitted in writing within 28 days of return, quoting your booking reference.

Failure to follow this procedure may affect your legal rights.

12. Behaviour

All clients are responsible for their conduct.

Arrangements may be terminated without refund if behaviour is dangerous, disruptive, or damaging.

You agree to indemnify us against claims or costs arising from your actions.

13. Limitation of Liability

For Package bookings, our liability is limited in accordance with PTR 2018.

For Single-component bookings, we act as Agent and are not liable for acts or omissions of suppliers except as required by law.

Total liability (except for death or personal injury caused by negligence) shall not exceed the total price paid for the booking.

14. Data Protection

We process personal data in accordance with UK GDPR and the Data Protection Act 2018.

Data may be shared with suppliers, insurers, or authorities as necessary to provide your booked services.

15. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales.

Any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.
